The Brief
- The Open & Distance Learning Quality Council (ODLQC) accredits providers of home study, distance learning, online or e-learning.
- All of their systems were still paper based and so they needed to modernise their internal processes. They wanted to integrate their internal systems into their website, to streamline the registration and accreditation process, both for providers and internal staff. This would form the backbone of the organisation's administration.
- Another important part of the brief was improving the profiles of the accredited providers and integrating this into the CRM, as well as allowing providers to manage their own profiles.
The Website
- The website and CRM bring together their administration, communication and application processes into a unified system.
- Users can complete all of the required forms via the website.
- The workflow is all managed online. Providers have a dashboard to manage their application process and are notified using their chosen communication method when they move to the next stage.
- The assessment process requires many forms to be filled in which are all filled in online. Providers can access and amend their form submissions via their dashboard.
- All application data is stored in the CRM and retrieved for the annual return and the 3 year re-assessment thereby speeding up future applications.
- Once a provider is accredited they can edit their public provider profile and add/amend their list of courses via their dashboard.
- All data is compiled in the CRM and assessments are managed using a case workflow. The chief assessor can assign roles to the workflow allowing staff to access the application data to process the assessment.
